It's so easy to get side tracked in today's world of information overload such as emails, text messaging, phone calls and family issues that it sometimes causes us become fragmented in focusing our energies on income producing activities with our home based business. Without the proper time management we often review our days activities and think now what exactly did I accomplish today? As per John Maxwell, "Your Success Is Determined By Your Daily Behavior." With all of this in mind I have put together this article as taught to me by Andrew Cass, who is highly trained in this area, in an attempt to share tips on how to manage your day /time most efficiently to create productivity.
1. Breaking free from the time management myth. Time management is called a myth because no one can manage time as we all have the same 24 hours in a day to accomplish our goals. What we can do is learn how to manage and control ourselves in time. High achievers have learned to master their energy and mental time which in turn gives us more physical energy. Once we can get a handle on our mental and physical energy we then master our time and accomplish 3-4 times more each day. So many of us put everything and everyone else before ourselves and this slowly saps much of our energy making it a real struggle to get things done. We should be aware of taking good care of ourselves so that our energy remains at peak producing levels. Typically, where the mind goes our energy flows so if most of our your day is focused on emails, Twittering, phone calls and social media in general we become very scattered in our energies which causes frustration and the feeling of working hard and nothing to show for it. This is very common for Internet Marketers to unknowingly fall into this trap.
2. We need to learn how to tackle the problem of feeling overwhelmed as it is here to stay and affects everyone in this massive information age. How we view overwhelm determines how we handle overwhelm. Overwhelm is here to stay. Being overwhelmed hinders our growth in business and equals a decrease in earning power. To help manage the issue of overwhelm is to look at the management of info like an appointment by some of the following ideas.
1. Schedule any trainings, courses and opening of your emails by appointment and stick to the schedule. Working on your training twenty minutes here, half hour next day becomes scattered, non productive and stressful.
2. Disconnect all things getting in your way such as emails, social media, text messaging, phone calls and family issues by scheduling blocks of time to work on your business. By disconnecting from all of these things coming at us so we can then focus on things you'll want to learn. Have creative days that involve just a few hours per week and schedule into your calendar tasks to accomplish maybe PPC advertising or learning ad copy. Be sure to set a start and finish time to stay on schedule and away from the emotion of overwhelm. Additionally, high achievers schedule a full half day to disconnect and from their work environment to work on special things like new trainings to keep our information current. No new training is equal to no new money. Working in a different space other than your work area like a swim club or coffee house is helpful or just a quiet area in your home.
Journal all of this by recording how much reading and training you did, how much marketing you were able to complete etc. Be sure to journal in detail like I marketed on Monday for 2 hours, worked on my ad copy for 1 hour on Tuesday and on Friday I completed a special course on how to do PPC advertising effectively. As soon as you begin to commit to your schedule and chart your results it becomes part of your daily routine. Then review your records for 1 month so you can decide in what areas you need to improve on. Hold yourself in integrity to continue doing this productive activity and soon it will become as natural as brushing your teeth. By focusing on one activity at a time then recording it in our journals we can see our progress and learn to embrace the emotion of overwhelm by knowing we have a special time set aside to complete important tasks in your business.
3. The number one Vampire that drains us of our time like no other in this information age is not Social Media or emails or the phones. It is often the people that distract us at any hour of the day. These type of distractions takes us away from our rhythm and routine causing us to be non productive. Once we learn to become proactive to this situation by setting our boundaries we are paving the way to becoming a high level entrepreneur. Here is an example of a distraction free work day. The first 2 hours after waking up are devoted to income producing activities like writing ads or articles, and marketing your business. No phones, emails or computers at this time. This is generally when out mental and physical activities are at their best. After this time is up it is best to engage in physical activity to keep our bodies strong and mental and physical energies are at their best. So by 12:30 p.m. we have accomplished a lot of productive income producing activities and feeling good about ourselves. The next step would to begin working on the distracting things like phone calls, emails and text messages according to their previously scheduled time slot. Once you are committed to your goals you will then be able to create distraction free blocks of time and batching things so you can proactively manage your time.
4. The importance of your work environment is crucial and sets the stage for the all important productivity. It would be difficult to grow into our potential by trying to work in our kitchen full of screaming children and ringing phones. Your environment needs to be conducive to focus and creativity. High achievers effectively and efficiently have three different environments for three different high level producing activities. You need to design what best works for you. As an example maybe working at a coffee shop with headphones for a particular task, your living room for another and your home office for the next one. If you squeeze all of these activities into one environment, we are diluting our efforts and not having focused energy. Getting away for our everyday work space allows us to see the world in a different way and become more conducive productive. Through trial and error each one of can find which working areas are the most conducive to our creativity.
5. Last and not least is how to place a dollar value on your time so you understand how much your time is really worth. Here is the formula: if you want to make $200K this year and have about 250 work days per year and work 8 hours per day that equals 2000 work hours per year or $100.00 per hour. Studies show that really only one third of our working time is profitable and income producing. So based on the previous formula we really only have about three profitable work hours per day and 750 hours of real work time per year which equals $267.00 per hour.
