Stop Wasting Time Checking Emails All Day
Most people use email to communicate with family, friends, clients, prospects, etc. It is one way to make connections and anchor relationships we previously discussed. Although last week we mentioned it is the lowest level and least effective method of communication, it seems there is a tendency to waste time checking emails all day. People feel they will miss something if they don't check every 30 minutes or every hour. The truth is, most emails are not urgent or not important and checking them often causes us to lose focus and go off on a tangent.
So, how do you stop wasting time checking emails? Very simply: set up an autoresponder. Have you ever received an instant message (im) from someone you just sent an email to? The im goes like this: "I am out of the office from this date to that date and will reply as soon as I return. If it's an emergency call 123-456-7890." When you receive that notice you know your email was received so you either wait for a response or call the emergency number.
Well, why not set an autoresponder to read "Thank you for your email. I check my email twice daily @ 10:00 am and 6:00 pm (CST) (or whatever time is convenient for you) and will reply within 24 hours. If it is urgent, give me a call @ 123-456-7890." When you set up your autoresponder you will save yourself 30 min. to 1 hour daily from getting distracted by worthless emails. You can use that time to focus on what's really important - anchoring your relationships via personal contact.

This message was posted just for me, I am on the computer all the time because my main business is communication via email but you are so right I have now scheduled my time to check emails twice an hour, at least, this way I can get more work done, thanks Ms. Irma.
